Before You Add More Automation, Make Sure You Can Trust Your CRM
Automation depends on the information that triggers it. If contacts are duplicated, pipeline stages are unreliable or tags mean different things to different people, adding more workflows can move incorrect information faster.
Before increasing automation inside Ivorey or GoHighLevel, confirm that the team can trust the data already there and that someone owns the standard going forward.
Duplicate contacts split the client history and can trigger repeated communication. Test records can distort reporting or accidentally enter live workflows.
Review how duplicates are currently created. The cause may be inconsistent email addresses, imports, separate forms or team members creating a new record before searching. Clean the existing data and update the process that created it.
A pipeline stage should describe where the opportunity is now, not simply that it exists.
Define what must be true for a contact to enter each stage, who owns the next action and when an opportunity should be moved or closed. If the team interprets the stages differently, reports will not reflect the real pipeline.
Tags become difficult to use when new versions are added without reviewing what already exists. Custom fields create the same problem when the team cannot tell which field is current.
Group tags by purpose, use clear names and remove or archive what is no longer required. Before creating a new field, ask which decision, segment or workflow will use it.
A contact can appear organised inside a CRM while still having no person responsible for the next step.
For active leads and clients, confirm that ownership is visible and that the next action is recorded. Automation can create reminders and tasks, but the business still needs a standard for who acts and within what timeframe.
Know where consent was collected and which communication the person agreed to receive. Keep unsubscribe and preference data accurate across forms, imports and campaigns.
This is both a compliance consideration and part of delivering a respectful client experience.
Data quality will decline again if the cleanup has no ongoing owner. Set a simple rhythm for reviewing duplicates, stalled opportunities, field usage, failed workflow actions and reporting accuracy.
The owner does not need to complete every update personally, but they should protect the standard and make sure changes are documented.
